This is a remote position.

Job Brief


We are currently seeking an experienced and professional Virtual Personal Assistant to provide exceptional administrative support to our team. The successful candidate will have a minimum of five years of administrative experience in a professional environment, with desirable experience in personal assistance.


To be successful in this role, you must have excellent administrative skills, with strong attention to detail, and the ability to prioritize tasks efficiently. You will be working in a fast-paced environment and will need to adapt to changing priorities quickly.



Requirements


  • Minimum of 5 years of experience in administration, preferably in a professional environment

  • Excellent written and verbal communication skills, with a professional and friendly demeanor

  • Exceptional organizational and administrative skills, with the ability to multitask and prioritize effectively

  • Strong attention to detail, with a focus on accuracy and precision

  • Proficient in the use of Microsoft Office and other relevant software programs

  • Ability to work independently and collaboratively as part of a team

  • Proactive, adaptable, and able to take initiative in a fast-paced environment

  • A polished and professional presentation, with the ability to represent the company in a positive and professional manner.



Responsibilities


  • Organise meetings and prepare, co-ordinate and distribute agendas, and other relevant information for meetings, as requested

  • Detailed meeting minute taking

  • Assist with time management prioritising and long-term planning

  • Coordinating conferences, functions and travel arrangements

  • Screening calls, field enquires and requests; escalating urgent matters

  • Communicating with a wide range of stakeholders at different levels from across the business and industry

  • Occasionally managing invoice/expense processes

  • Contract management using online contract management platform

  • Email/diary management,

  • Timesheet management for Executive Chair
